The Problem: Manual Follow-Up Fatigue

After every discovery call, I used to:
  • Log client details in a spreadsheet
  • Summarize their needs in notes
  • Open up my email
  • Stare at a blank screen
  • Write (and rewrite) the same friendly, personalized follow-up

It took too long. It wasn’t consistent. And honestly? It killed my momentum.

The Fix: Zoho Creator + OpenAI

So I built a simple app in Zoho Creator to log each call, then write and send the follow-up email automatically—with my tone, their pain points, and zero extra brainpower.

Here’s what it looks like:

Step-by-Step Breakdown

1. Build a Discovery Call Logger in Zoho Creator
I made a form that includes:
  • Client Name
  • Notes from the call
  • Services they’re interested in
  • A “vibe score” (yes, I’m serious—it helps me tailor the tone)

2. Add OpenAI Integration with Deluge Script
Using Creator’s built-in integration options and a bit of Deluge scripting, I connected my app to OpenAI.

The script pulls the client info, sends a structured prompt to ChatGPT, and gets a full email draft back in seconds.

3. Automate the Send via Zoho Mail
Once the draft looks good, I click “Approve & Send”—and the email is fired off from my Zoho Mail account.

No template copy/paste. No manual edits. Just a polished, personal message… done.

The Impact: Real Time Saved

What used to take 15–20 minutes per client now takes under 1.

Even better? The follow-ups are better written, more consistent, and make me look ultra put-together.

You Don’t Need to Be a Developer

I didn’t build my own AI.

I didn’t write thousands of lines of code.

I just used Zoho Creator’s form builder, basic Deluge scripting, and an OpenAI integration to plug AI into my real-world workflow.
