If you’re running a growing team or business, there comes a point when sticky notes and “just email me” doesn’t cut it anymore. You need an easy way to document your processes, train your team, and give everyone a single source of truth.

Zoho Learn is part knowledge base, part learning management system (LMS). It’s built for businesses that want to keep their team informed and equipped—without duct taping together Google Docs, Coda, and ten other apps.

What is Zoho Learn?

Zoho Learn is Zoho’s platform for creating and managing internal knowledge and training content. It’s kind of like if your company wiki and your new hire onboarding checklist had a very smart baby.

You’ve got two main tools at your disposal:
  1. Knowledge Base: Build a structured internal knowledge library with manuals, templates, and articles.
  2. Learning Management System: Assign courses to team members, track progress, quiz them on content, and give badges or completion certificates.

How I Recommend Using Zoho Learn

There are a ton of possibilities here, but for most small businesses, this is what I’d prioritize:

Build a Knowledge Repository

  • Create Portals for your whole org (or external users too!)
  • Organize info into Spaces for each department (Sales, Ops, HR, etc.)
  • Break topics down into Manuals and Articles—with version tracking, access controls, and comments built in
  • Use templates to make sure each process is documented consistently
Think: “How do we request PTO?”, “What’s our sales call script?”, “How do I reset my password?”

Build Internal Training Programs
  • Upload engaging content with videos, images, docs, checklists, and more
  • Drip out content on a calendar schedule or assign it all at once
  • Assign learning paths to team members and track their progress
  • Include quizzes or assignments, and reward completion with badges
This is perfect for onboarding, compliance training, or role-specific learning tracks.

Who is Zoho Learn For?

Zoho Learn is ideal for:
  • Small and midsize teams that want to stop repeating themselves
  • Companies building out internal SOPs
  • Teams with high turnover or recurring onboarding needs
  • Businesses that need to document processes for growth or compliance

And yes, it supports external portals too. That means you could set up a help or training portal for your clients, vendors, or partners—so they can self-serve and stop pinging your team every five minutes.

What It's Not For

If you want to host a paid or public-facing course, I’d actually recommend Zoho TrainerCentral. While Zoho Learn is excellent for internal training, TrainerCentral has way more robust marketing and selling features for external learners.

Bottom Line

If you want your team to stop asking you how to do something every week, get your processes into Zoho Learn. And if you want to build training programs that people actually complete? This might be your new favorite tool in the Zoho One suite.
