Did you know you can customize the Users module in Zoho CRM?

Most people don’t — but once you discover it, it opens up a ton of new possibilities for better organization and smarter automation.

I stumbled on this a while back, and ever since then, I’ve used it with multiple clients in really creative (and practical) ways. If you want to add more structure to how your team shows up in your CRM — this tip is for you.

Where to Find the Hidden “Manage Fields” Option

Here’s how you access it:
  1. Go to Setup > Users and Control > Users
  2. Click on any user’s name to open their profile
  3. In the bottom left corner, click “Manage Fields”
  4. This opens up the field editor for the Users module — just like with Leads, Deals, or Contacts
  5. From here, you can add fields:
    1. Text
    2. Picklist
    3. URL
    4. Date
    5. And more
  6. Don’t forget to hit Save when you’re done!

These fields are now available on every user record — which means they’re also available in filters, reports, and even workflow rules.

Why This Hack Is So Useful

Most people don’t think of “users” as CRM data — but they are! Customizing the Users module gives you a lot more flexibility with your processes and automation.

Here are a few smart ways we’ve used this:

1. Store Contact Info You Actually Need

Not everything belongs in the system default fields. Add custom fields for:
  • Secondary email addresses
  • Office phone numbers
  • LinkedIn or Calendly URLs

2. Power Up Personalized Emails

We had a client who wanted to include each sales rep’s unique booking link in email templates. By storing that link on the user record, we could easily merge it into emails without complex logic.

3. Create Custom User Tags

Let’s say you want to group users as "Sales", "Project Managers", or "Account Owners" — but you don’t want to restructure your roles. Add a picklist field and group them however you want.

This can be really helpful when filtering users for lookups or workflows. For example, only show project managers in a certain dropdown field.

Real-World Example

One of our clients had a multi-role team but didn’t want to redo the entire role hierarchy. Instead, we added a custom “User Type” picklist in the Users module. Then, on Deals and Projects, we created filtered user lookup fields based on that picklist. Clean, easy, scalable.

Bottom Line

Customizing the Users module in Zoho CRM is one of those hidden gems that gives you more power, more personalization, and more flexibility in how you use your system.

It’s an easy change — but one that can save you serious time and make your workflows more dynamic.
