Use Zia to Create a Custom Chatbot in Zoho Recruit

I Built an AI Chatbot to Handle Hiring Questions (and My Inbox Thanks Me)

I posted a job and thought, “Great! Let’s find someone awesome.”

Instead, I got five emails within two hours… asking the exact same three questions:
  • “What’s the pay?”
  • “Is it remote?”
  • “When do interviews start?”

I’m not mad. But I definitely wasn’t ready.

I didn’t want to ignore them, but I also didn’t want to type the same email reply five times.

So I opened Zoho Recruit, clicked the Zia Chatbot builder, and fixed the problem.

The Secret Weapon: Zia Chatbot in Zoho Recruit

If you’re not familiar, Zia is Zoho’s built-in AI assistant. And in Zoho Recruit, she powers a fully customizable, no-code chatbot that can live on your careers page, job listings, or even your main site.

This chatbot can:
  • Answer common candidate questions
  • Show open roles
  • Guide visitors to the right application
  • Help screen basic qualifications
  • Save you from drowning in your inbox

Basically, it’s like hiring a part-time recruiting coordinator… but it’s free and never goes on vacation.

How to Build a Chatbot in Zoho Recruit (in 15 Minutes)

You don’t need to code. You don’t need to write scripts. You just need a few FAQs and the will to never answer “Is this remote?” again.

Step 1: Open the Zia Chatbot Builder

  • Go to Zoho Recruit > Setup > Zia > Chatbot
  • Choose Create New Chatbot

✅ Zia Chatbot is available on Zoho Recruit’s paid plans (Professional tier or higher, or via Zoho One)

Step 2: Define Your Bot’s Purpose

Start with a basic goal, like:

  • Answering FAQ
  • Showing open positions
  • Directing users to apply
  • Collecting basic info (name, role interest, etc.)

Give it a name (mine is “Hiring Helper”) and choose where you want it to live—your Careers Page, Job Opening Page, or as an embed on your website.

Step 3: Add Responses and Flows

You’ll be able to define:

  • FAQ triggers — like “What’s the salary?” → “This role pays $XX–$YY based on experience.”
  • Application links — “How do I apply?” → direct to form
  • Job search paths — “What roles are open?” → show job listings dynamically
  • Custom workflows — you can collect info and push it into your ATS

Use the drag-and-drop builder or plain text replies. Zia handles the rest.

Step 4: Preview and Publish

Once you're happy with the flow:

  • Test the chatbot using Zoho Recruit’s preview tool
  • Adjust any phrasing or flow
  • Hit Publish to make it live on your page

Done. Now it runs on autopilot.

Real Talk: This Changed How I Hire

Before the Zia chatbot, hiring felt like babysitting. I’d post a job and get a tidal wave of emails—most of them asking questions I’d already answered in the job post (but let’s be honest, no one reads those).

Now?
  • Candidates feel supported
  • My inbox stays sane
  • And I get better applications from people who actually read the answers first

This isn’t just automation for automation’s sake—it’s real relief for real small businesses.

TL;DR: Build the Bot Before You Post the Job

If you’re hiring—or even thinking about hiring—set up the Zia chatbot now. You’ll thank yourself later.

It’s:
  • Fast to set up
  • Easy to update
  • Surprisingly helpful for both you and the candidate

Because the only thing more stressful than hiring… is hiring without a plan.
