How to Set Up Bank and Credit Card Feeds in Zoho Books (And Reconcile Transactions Weekly)

One of the biggest time drains for small business owners isn't running the business, it's keeping the books up to date. Manually entering transactions, cross-referencing statements, and trying to remember what that $47 charge from three weeks ago was for adds up fast.

Zoho Books solves this with automated bank and credit card feeds. Once you're set up, your transactions import automatically, and reconciliation becomes a quick weekly task instead of a monthly nightmare. This guide walks you through exactly how to set it up and build a simple weekly reconciliation habit that keeps your books clean year-round.

What Are Bank Feeds in Zoho Books?

Bank feeds are live connections between your bank or credit card accounts and Zoho Books. Instead of logging into your bank, downloading a CSV, and importing it manually, Zoho Books pulls your transactions in automatically — usually within 24 hours of them posting.

This means your books are always close to current, your accountant has what they need, and you're never staring down three months of uncategorized transactions at tax time.

Step 1: Add Your Bank or Credit Card Account

To get started, log into Zoho Books and navigate to Banking in the left-hand sidebar. Click the plus (+) button to add a new account.

You'll be prompted to choose between two connection methods. A direct bank feed connects through Plaid, a secure third-party service that links directly to thousands of banks and credit unions. If your bank is supported, this is the best option: transactions flow in automatically with no manual work. A manual CSV import is the backup option for banks that don't support direct connections. You'll download a statement from your bank and upload it to Zoho Books on a regular basis.

Fill in your account details: account name, account type (checking, savings, credit card), and currency and complete the connection flow. Once connected, Zoho Books will begin importing your recent transaction history.

Step 2: Categorize Your Transactions

Once your transactions start coming in, Zoho Books will do its best to auto-categorize them based on the vendor name and your existing chart of accounts. You'll want to review these, especially early on, to make sure everything is landing in the right category.

Over time, Zoho Books learns your categorization patterns and gets more accurate. You can also set up rules: for example, automatically categorizing every transaction from a specific vendor as a specific expense type. This is worth doing for any recurring expenses like software subscriptions, utilities, or supplier payments.

Step 3: Reconcile Your Accounts Weekly

Reconciliation is the process of confirming that what's in your Zoho Books matches what's actually in your bank account. Most accountants recommend doing this monthly at minimum, but weekly is even better, it keeps discrepancies small and catches errors before they compound.

To reconcile, go to Banking, select the account you want to reconcile, and click Reconcile. Enter your statement closing balance from your bank, then set the date range you're reconciling through.

Zoho Books will display your transactions side by side with your bank records and automatically match the ones it's confident about. Your job is to review the matched transactions, confirm they look correct, and manually match or create records for anything that didn't match automatically. Common reasons a transaction might not auto-match include timing differences, transactions entered manually at a slightly different amount, or expenses that were recorded in Zoho but haven't posted to your bank yet.

Once everything is matched and the difference shows zero, hit Reconcile and you're done.

Why Weekly Reconciliation Is Worth It

Doing this weekly instead of monthly takes about five minutes once your feeds are running smoothly. The payoff is significant, you catch bank errors quickly, you always have an accurate picture of your cash position, and tax season stops being stressful because your books are already clean.

It also makes it much easier to spot unusual charges, duplicate transactions, or potential fraud early, before small issues become big ones.

Common Questions

Is it safe to connect my bank to Zoho Books? Yes, Zoho Books uses Plaid for bank connections, the same technology used by most major financial apps. The connection is read-only, meaning Zoho can see your transactions but cannot move money.

What if my bank isn't supported for direct feeds? Use the CSV import option. Most banks let you download transactions as a CSV from your online banking portal. It takes a few extra minutes but keeps the same reconciliation workflow.

How far back does Zoho Books import transactions? This varies by bank, but most direct feed connections pull in 90 days of transaction history when first connected.
