Why your reports slow down as your workspace ages
Zoho calls out the core issue plainly: as workspaces accumulate historical data, that data still gets queried when reports and dashboards run. The result is slower performance, increased storage consumption, and a higher chance you blow past row limits.
Archive Data solves this by reducing what your dashboards have to scan every time they load. You keep the data, but your day to day reports stop querying it.
What Archive Data does in plain English
Archive Data removes records that match your archive conditions from active analysis. Those archived records are no longer queried as part of report execution.
Translation:
- Dashboards query less data
- Reports render faster
- Your workspace feels snappier
- You still keep the history when you need it
The best tables to archive first
Pick a table that grows forever and is not needed for daily decision-making, like:
- Transactions
- Invoices
- Website events
- Time logs
- System activity logs

How to set up Archive Data in Zoho Analytics
Zoho’s process is essentially four steps: define conditions, schedule the archive, set retention, and notify admins.
1) Choose the table
Open the table that has gotten huge, then go to More and select Archive Data.
2) Define archive conditions
You set rules for what gets archived by selecting:
- Column name
- Operator
- Value
You can add multiple conditions, up to 10, to control exactly what moves out of active tables.
A common starter rule is something like:
- Archive anything older than 12 months
- Or 24 months, depending on the business and reporting needs
3) Schedule it so it runs automatically
Zoho Analytics supports archive schedules at these intervals:
- Once
- Weekly
- Monthly
- Yearly
This is where you stop relying on “we will clean it up later” and turn it into a maintenance routine.
4) Decide how long to retain archived data
Archiving is not just moving data. Zoho Analytics also lets you define how long archived data stays around before it is permanently deleted:
- Retain based on a time period
- Retain based on the last N archives
This matters for compliance and for internal reporting expectations.
5) Turn on notifications
You can notify admins on success or failure so someone actually knows when an archive job breaks.
Important behavior changes you should know
Once archived, those records are excluded from dependent reports, dashboards, and filter values because they are no longer part of active analysis.
That is exactly why performance improves, but it also means you should be intentional about what gets archived so you do not surprise stakeholders who expect lifetime trend lines in everyday dashboards.
Also worth noting: previously archived data remains unchanged even if the table structure changes later. Schema changes affect future archive executions, not past archives.
Can you get the data back if you need it?
Yes.
Zoho Analytics includes:
- Unarchive, which restores archived data back into the original table
- Download archived files, which lets you grab a local copy of archived data
So this is not a one-way trap door if you set it up thoughtfully.
Plan notes that matter before you promise this to your team
Zoho states Archive Data is available in Premium and Enterprise plans, in bundle plans, and can be purchased as an add-on with other plans. They also note limits like how many active archive schedules you can have by plan.
