Zoho CRM Email Composer Updates: Fonts, Sizes, and Reply To

If your emails in Zoho CRM look like they were typed in 2009, and replies keep landing in the wrong inbox, Zoho just fixed both.

Zoho CRM released three upgrades to Email Composer settings:

  1. Custom font types
  2. Custom font sizes
  3. A default Reply To address option

1) Custom font types

You can now pick a default font from Zoho’s list or add up to five custom font types to match your brand.

Important limitation: custom fonts are device-specific

Zoho calls out a very real gotcha: custom fonts are device-specific. If the font is not installed on a user’s device, they will see an error when they try to use it. This can happen when someone adds a custom font from one computer, then tries to use it from another.

Admin tip: If you want a consistent brand font, make sure it is installed on the machines that will send emails, or stick to widely available fonts.

2) Custom font sizes

You can also choose a default font size from the list or add up to five custom font sizes for emails sent from Zoho CRM using the Send Email option.

Zoho’s stated limit is a size value between 9 and 99, with up to two decimal places.

Why this matters: This is how you get consistent email formatting across a sales team instead of every rep sending in a different size and style.

3) Default Reply To address

This is the real operational win.

Zoho CRM now lets you set a default Reply To address, so replies go to the right place without reps manually changing it every time.

Zoho specifically highlights this as useful when:

  • Your email is sent from an organizational address that is not integrated with Zoho CRM, or
  • You send from a no reply style address, but still want replies tracked in the right mailbox

You can set the default Reply To using one of your configured From addresses or an organizational email address.

Practical example

Send from sales@yourcompany.com but route replies to accountmanager@yourcompany.com or support@yourcompany.com, consistently, every time.

This reduces missed replies, broken handoffs, and awkward “I never saw your response” situations.

Best practices for rolling this out

  1. Pick one standard font and size
    Consistency is the goal. Set a default that makes every email look like it came from one brand.
  2. Use Reply To to route by workflow
    If your team uses shared mailboxes, default Reply To can enforce clean routing without relying on rep memory.
  3. Document the device-specific font limitation
    If you do allow custom fonts, set expectations. Otherwise someone will add a font, others will error, and adoption will suffer.
