Build a Lead Source Report in Zoho CRM
If you don’t know where your leads come from, your marketing budget is basically vibes and hope.
A simple Lead Source report in Zoho CRM gives you a fast, objective answer to:
- Which channels are actually sending leads
- Whether those leads are decent quality
- What you should do more of next month

Quick prerequisite: Lead Source has to be real data
This report only works if your Lead Source field is consistently filled in.
Before you build the report, make sure:
- Website forms set Lead Source automatically
- Imports map the Lead Source field correctly
- Sales reps are not leaving it blank or free-typing random values
If Lead Source is messy, your report will be messy. Clean input equals clean reporting.
Step 1: Create a Leads report
- In Zoho CRM, go to the Reports tab
- Click Create Report
- Choose Leads (module-based report)
You are building a straightforward, module-based summary. No need to over-engineer this.
Step 2: Group by Lead Source
In the report builder:
- Set Primary Grouping to Lead Source
- Add a metric like Record Count (number of Leads per source)
Now you have an immediate breakdown of your channels, such as:
Website vs Referral vs Google vs Social, and anything else you track.
Step 3: Add filters so it is actually useful
Without filters, reports turn into lifetime totals that do not help you make decisions.
Add filters like:
- Created Time equals this month, last month, or last 90 days
- Optional: Lead Status not equal to Junk or Disqualified
Optional cleanup rule:
- Only show sources with at least X leads
This keeps the report readable and stops one-off sources from cluttering your view.
Step 4: Add “did these leads convert?” as a quick win
You have two easy options depending on how your CRM is set up.
Option A: Add a conversion metric
If your CRM tracks converted leads in reporting, add a metric like Converted Leads count so you can see which sources create actual customers, not just inquiries.
Option B: Add a quality breakdown using Lead Status
Group by:
- Lead Source as the primary grouping
- Lead Status as a secondary breakdown
Even a simple split like:
New vs Converted vs Disqualified
will show you quality trends fast.
This is where the report goes from “interesting” to “actionable.”
What to do with the results
Once you run this report, ask:
- Which source brings the most leads?
- Which source brings the most converted leads or the highest quality statuses?
- Are you spending time on channels that produce low-quality leads?
This is how you decide what to do more of next month, using evidence instead of gut feel.
