Short answer: Zoho One Standard comes in two licensing options. All-Employee pricing is about $37 per employee per month on annual billing ($45 monthly), but you have to license every employee on payroll. Flexible User pricing is about $90 per user per month on annual billing ($105 monthly), and you only license the people who need it. There's also a lower-priced Essentials edition with fewer apps. Prices change, so confirm them on Zoho's pricing page before you decide.
"How much does Zoho One cost?" sounds like a simple question. The answer depends on how many people work for you, how many of them actually need software, and which edition you pick.
This guide walks through each option, shows how to do the math for your own team, and covers the costs that aren't on the pricing page.
How Zoho One Licensing Works
Zoho One is one subscription that covers dozens of Zoho apps: CRM, Books, Desk, Projects, Marketing Automation, People, and more. Instead of paying for each app separately, you pay one price per person.
There are two editions:
- Essentials: a smaller bundle of 15+ core apps for sales, service, marketing, projects, collaboration, and finance.
- Standard: the full suite of 50+ apps, plus admin controls, analytics, and the tools to customize and extend the platform.
Standard then comes with two ways to license it: All-Employee pricing and Flexible User pricing. That choice usually affects your bill more than anything else.
All-Employee pricing
You commit to buying a Zoho One license for every employee on payroll, whether or not they log in. In exchange, the per-person price is much lower, about $37 per employee per month on annual billing.
Flexible User pricing
You license only the people who will use Zoho One. There's no all-employee requirement, but the per-user price is much higher, about $90 per user per month on annual billing.
How to Calculate Your Real Zoho One Cost
Here's the quick math we use with clients. Compare the two options using your real headcount:
- All-Employee cost = total employees on payroll × the All-Employee rate
- Flexible User cost = people who need software × the Flexible User rate
The break-even point is roughly 40 percent. If fewer than about 4 in 10 of your employees need software, Flexible User pricing usually costs less. If more do, All-Employee pricing usually wins.
Example: a 20-person service business:
- All 20 people need email, chat, and time tracking, so All-Employee pricing makes sense: 20 × $37 = $740 per month on annual billing.
- If only 6 office staff need software and the other 14 never log in, Flexible User pricing is cheaper: 6 × $90 = $540 per month.
Monthly vs. annual billing: Annual billing lowers the per-person price. Monthly billing costs more but gives you flexibility while you're testing. Most businesses we work with start on monthly billing during setup and move to annual once the apps are in daily use.
Zoho One Essentials vs. Standard: Which Edition Do You Need?
Choose Essentials if you need the core apps, like CRM, help desk, projects, email, and invoicing, and you don't need advanced customization or the full app catalog yet. It's the lower-cost way to start.
Choose Standard if:
- You need apps that aren't in Essentials, such as HR, recruiting, or advanced analytics.
- You plan to build custom apps or automations across departments.
- You want centralized admin controls, such as device management, for a growing team.
You can start with Essentials and move to Standard later. Check Zoho's current app list for each edition before you buy, because the list changes.
Costs That Aren't on the Pricing Page
The license is only part of what Zoho One costs. Plan for these too:
- Setup time. Zoho One gives you a lot of apps. The value comes from setting up the few you need and connecting them. That takes either your team's time or a partner's. Our post on the real cost of implementing Zoho CRM breaks down the hours.
- Data migration. Moving years of spreadsheets or another CRM into Zoho takes cleanup first.
- Training. Each role uses the apps differently, so plan short training by role.
- Ongoing upkeep. Someone needs to own the system after launch, or it drifts.
- Taxes. Zoho's listed prices don't include local taxes.
Is Zoho One worth it?
It usually pays off once you need four or five business apps and want them sharing data. If you mainly need one area, like sales or finance, a smaller bundle such as CRM Plus or Finance Plus may cost less.
