Zoho Projects Custom Modules: Track Real Work, Not Just Tasks
Zoho Projects just added Custom Modules, which means you can finally track the stuff your business cares about without forcing it into Tasks.
Because not everything is a task.
Change requests, approvals, site visits, assets, onboarding steps, deliverables. If you have been duct-taping all of that into task names and comments, this feature is for you.
Zoho introduced Custom Modules to let teams tailor projects and build workflows around how their business actually operates.
What Custom Modules are in Zoho Projects
A Custom Module is basically a new tab inside Zoho Projects that holds its own records and fields. Instead of cramming everything into Tasks or Issues, you can create a dedicated module for the thing you actually need to track.
Zoho supports two types:
- Project Module: exists inside a single project
- Organization Module: appears in the left navigation for the whole portal
This is what turns Projects from a task list into a more complete operational workspace.
How to create a Custom Module
Create a Project Module
Inside a project:
- Go to Organize Tabs
- Click + Add Module / Web Tab
- Create your Custom Module
This creates a module that lives inside that project.
Create an Organization Module
Zoho’s help doc distinguishes Organization Modules as portal-level modules that show in the left navigation panel, not just inside one project.
Practical takeaway: pick Organization Module when you want a standardized tracker used across multiple projects.
Real examples that instantly make Projects more useful
Here are Custom Modules I would build for most service and delivery teams:
- Change Orders or Scope Changes
- Approvals and Sign-offs
- Project Assets or Equipment
- Client Deliverables tracker
- Site Visit logs
Now those items have real fields, statuses, owners, and reporting. Not just a task name that starts with “CHANGE ORDER” in all caps.
Project vs Organization Module: choose based on who needs access
This is the admin gotcha you called out, and it matters.
Zoho states that Client users and Lite users cannot access Organization Modules.
So:
- If clients need to see it, use a Project Module
- If it is internal-only and you want it available across the portal, use an Organization Module
Why this matters
Custom Modules solve a really specific adoption problem: when everything is forced into Tasks, users stop trusting the system because it does not match reality.
Custom Modules let you model the real objects your business runs on, then build project workflows and reporting around those objects instead of hiding them in task descriptions.
