I forgot to follow up on a proposal. It had been sitting in Drafts for days, and I only remembered because… my Zoho Cliq bot roasted me.

“Hey… did you send that proposal yet?”

Why I Needed a Bot in the First Place

Running a small business means juggling:
  • Client follow-ups
  • Invoices
  • Tasks

  • A million browser tabs

And honestly? Some things fall through the cracks—like checking on overdue invoices or replying to that lead from three days ago. So I built a bot. Inside Zoho Cliq.

That reminds me, pings me, and occasionally throws shade.

What Zoho Cliq Bots Can Actually Do

Bots in Zoho Cliq are like little digital coworkers that live in your chat sidebar. You can build them to:
  • Monitor data from apps like CRM, Books, or Projects
  • Send automated messages when conditions are met (e.g. overdue tasks, new leads, unpaid invoices)
  • Respond to slash commands (“/nextlead” or “/proposalstatus”)
  • Trigger workflows via Zoho Flow or Zia integrations

And the best part? You can set the tone. Friendly. Serious. Sarcastic. Passive-aggressive project manager energy. Your call.

How to Build a Custom Bot in Zoho Cliq

It’s easier than it sounds. You don’t have to code (though you can go deep with Deluge if you want to).


Option 1: Use the Built-In Bot Builder

  1. Go to Zoho Cliq > Bots > Create Bot
  2. Name your bot (mine’s “Task Goblin”)
  3. Choose actions like:
    1. Sending scheduled reminders
    2. Monitoring a webhook
    3. Responding to a command

You can use prebuilt templates or build from scratch with triggers and messages.

Option 2: Use Zoho Flow to Power It

If you want your bot to talk to CRM, Books, or other Zoho apps:
  1. Open Zoho Flow > Create Flow
  2. Choose a trigger (e.g. “Invoice Overdue” or “Lead Not Contacted in 3 Days”)
  3. Set the action to Post Message in Cliq Channel or DM
  4. Customize the message with data fields (name, status, due date, etc.)

Now your bot becomes your data-driven accountability partner.

Option 3: Let Zia Help

Zia (Zoho’s AI assistant) can integrate into your bot to add smart suggestions, context-aware replies, and more nuanced automation—but that’s a level-up for when you're ready.

What My Bot Does Every Morning
