Short answer: To set up Zoho Inventory, start with your organization settings, taxes, and currency. Then add your warehouses, create your items with SKUs and reorder points, enter opening stock, and import customers and vendors. After that, connect your sales channels and shipping, run one test order from sales order to invoice, and connect Zoho Books if you use it.
Inventory software is only as good as the data you start with. Most problems we see come from rushing setup: duplicate items, wrong opening stock, or skipped warehouse settings.
Here's the order we follow when we set up Zoho Inventory for clients.
Step 1: Plan Before You Click Anything
Answer these questions first. They shape every setting that follows:
- Where is your stock? One location, several warehouses, or a mix of warehouse and vehicles?
- How do you identify items? Decide on a SKU format now. Changing it later is painful.
- Do you sell variations? Sizes, colors, or materials usually belong in item groups.
- Do you sell bundles or build products? Kits and assembled products need composite items. See our guide to Zoho Inventory assemblies and kits.
- Where do orders come from? Your website, online marketplaces, phone orders, or sales reps.
- Do you track serial numbers or batches? Warranty and expiration tracking need this from the start.
Then clean up your current item list in a spreadsheet: remove duplicates, fix names, and confirm costs and prices.
Step 2: Configure Your Organization, Warehouses, and Items
Organization settings: Set your company details, base currency, fiscal year, and tax settings. If you sell in multiple states or countries, configure taxes carefully before you create any transactions.
Warehouses: Add each location where you keep stock. If you only have one, you can skip this for now, but setting it up early makes adding a second location easier later.
Items: For each item, add:
- Name and SKU
- Unit of measure
- Selling price and cost price
- Sales and purchase accounts
- Reorder point, so Zoho alerts you when stock runs low
- Preferred vendor
Import items from your cleaned spreadsheet instead of entering them one at a time. Use item groups for variations.
Step 3: Enter Opening Stock, Customers, and Vendors
Opening stock: Count your inventory and enter opening stock for each item and warehouse. This is the most important number in your setup. If it's wrong, every report after it is wrong too. Pick a cutover date, count on that date, and enter those quantities.
Customers and vendors: Import your customer and vendor lists, including addresses, payment terms, and tax details. If you use Zoho CRM, sync customers from CRM instead of importing them twice.
Price lists: If different customers pay different prices, such as wholesale and retail, set up price lists now.
Step 4: Connect Sales Channels, Shipping, and Accounting
Sales channels: Zoho Inventory connects to common online stores and marketplaces, so orders and stock levels sync automatically. Connect one channel at a time and confirm that orders and stock levels match.
Shipping: Connect your shipping carriers to print labels and track shipments from Zoho Inventory.
Accounting: If you use Zoho Books, connect it so invoices, bills, and inventory values flow straight into your books. If you use other accounting software, decide how inventory will sync before you go live.
Run a test order: Before going live, run one complete order: sales order, package, shipment, invoice, and payment. Then run one purchase: purchase order, receive, and bill. Fix anything that looks off before your team starts using it.
Frequently Asked Questions
Is Zoho Inventory included in Zoho One? Yes.
Can Zoho Inventory track serial numbers and batches? Yes. Turn on serial or batch tracking for the items that need it.
How long does setup take? A small catalog with one warehouse can be ready in days. Multiple warehouses, channels, and integrations take longer.
Should I switch inventory systems in the middle of a busy season? No. Pick a slower period so you have time to count and test.
Bottom Line
A clean Zoho Inventory setup comes down to planning first, getting opening stock right, and testing a full order before go-live. Do those three things, and the reports you rely on later will be accurate.
